Scheduling Service

How to Schedule a Service Appointment

Backfire Barn is a service-by-appointment shop. This means every job is scheduled intentionally so your equipment or vehicle receives the proper time and attention. Below you’ll find everything you need to know about scheduling, what to expect, and how to get started.

Why We Use Appointments

Unlike walk-in shops that try to squeeze repairs in whenever possible, we operate on a structured, appointment-based system. This ensures:

  • Shorter turnaround times
  • Better communication
  • Less equipment sitting for weeks waiting to be looked at
  • Accurate scheduling based on real shop workload
  • Higher-quality diagnostics and repairs

What Happens After You Request an Appointment?

Submitting an appointment request does not mean you are automatically approved. Here’s the process:

  1. You submit your request online.
Include detailed information about the issue and upload photos when possible.
  2. We review your request.
We determine whether we can take on your equipment or vehicle based on workload, parts availability, and the nature of the issue.
  3. We contact you.
You’ll be notified if your appointment is approved or if we need more information first.
  4. A drop-off time is assigned.
You’ll receive a specific arrival window so your equipment can be worked in efficiently.

Important Notes Before Scheduling

  • All appointments are reviewed before approval.
This helps prevent backlog and ensures we can give proper attention to each job.
  • Workload varies.
Some weeks we can accept multiple jobs; other weeks we may temporarily pause intake.
  • Equipment must meet safety and cleanliness requirements.
Please review our Vehicle Cleanliness Policy.
  • Prepare your machine before drop-off.
See our Appointment Prep page for fuel, keys, attachments, and other requirements.
  • Storage fees apply to any equipment not picked up within the allowed timeframe.

When Will My Repair Be Completed?

Turnaround time depends on:

  • Current shop workload
  • Parts availability
  • Complexity of the repair
  • Whether additional issues are discovered during diagnosis

We will always communicate updates and timelines clearly once diagnosis is complete.

Ready to Request Your Appointment?

If everything above sounds good, you’re ready to submit your appointment request. Remember — approval is not automatic, but we review requests quickly and respond as soon as possible.
